Reports to: Associate Director of Stewardship Recognition and Acknowledgments
Position Summary: As the Stewardship Officer Acknowledgments, you will manage the production and distribution of highly personalized correspondence to donors, including corporations and foundations when appropriate, from senior university leadership. You will work closely with the Assistant Director Stewardship Acknowledgments to provide exceptional customer service to the university’s donors in collaboration with senior university leadership. You will also maintain extensive expertise in all aspects of OUD Stewardship office activities and initiatives to partner with team members to accomplish departmental goals and deadlines as needed.

45% Acknowledgments Writing and Production
Liaison to the office of the VP for Development.
Partner with Stewardship Administrative Assistant and the Assistant Director Stewardship to process reports, run letter merges, and divide the workload.
Manage writing and production of acknowledgment letters, including, but not limited to; research, prepare, write, proofread, and edit correspondence while obtaining the necessary approvals, oversee production and distribution of correspondence and analyze acknowledgment systems to find ways to streamline and improve the process, including evaluation of OneNote and Access systems when needed.
Liaison with senior university leadership to determine signing dates; coordinate with Assistant Director Stewardship Acknowledgments to provide coverage for communication with senior university leadership.
Maintain a template system, analyzing periodically the need for rewriting templates and the annual rewrite of the templates as appropriate.
Write special correspondence from senior university leadership as requested, such as condolence letters, proposals, invitations, and letters of congratulation.
Maintain and update VP for Development style guide.
Update or coordinate the update of donor records in DART related to correspondence.
Update salutation information in DART for VP for Development, when needed.
Add major giving tab to donor records in DART as necessary.
30% Acknowledgments Research and Strategy
Collaborate with development staff university-wide to determine strategies for donor correspondence.
Research the individual circumstances of the donor and the gift, effectively utilizing web-based and internal systems for 100% accuracy and run relevant reports.
Document and share information in Department’s OneNote file, update DART information as appropriate.
15% Provides collaborative support for OUD Stewardship functions
Maintain a working knowledge of OUD Stewardship functions to provide cross-trained support when necessary. This may include, but is not limited to; recognition activities, support of the individual stewardship financial reporting function, communications, new media initiatives, participating in events, and other duties as needed. You will also actively participate in regular Stewardship brown bag and forum sessions by making participants feel welcome, answering questions, setting up as needed, and developing and participating in presentations. You will also support and encourage initiatives related to diversity, equity, and inclusion.
10% Unit/Team Liaison
Liaison to the Prospect Development and Analytics (PDA) team to share information and background information on unmanaged prospects that have reached milestones in their giving.
Liaison to OUD Annual Giving. Attend regular meetings with the AG team, suggests/supports projects that improve the stewardship of AG donors, including donor retention and improved donor experience. Also, serve as a point person for S/C/Us in AG level giving.
Liaison to Alumni Association (AA). Attend regular meetings with AA, suggest/supports projects that relate to stewardship of high-level alumni and/or volunteers.
A Bachelor’s degree in English, journalism or a related field or an equivalent combination of relevant education and experience
Experienced PC user, knowledge of Microsoft Office Suite (Word, Excel, Access)
Considerable knowledge of principles, practices, and techniques of writing, proofreading, and editing
Demonstrated skill and ability to create effective written communication
Excellent interpersonal and verbal communications skills
Detail oriented, strong communication skills and a great degree of comfort adapting to changing systems and methodologies
Ability to set priorities, handle multiple assignments and deadlines, and to display excellent judgment while operating in a flexible and professional manner
Ability to use discretion when dealing with highly sensitive information
Familiarity with Google Docs, PowerPoint, OneNote a plus
Knowledge of UM Development systems, including the Donor & Alumni Relationship Tool (DART), Business Objects, WebNow (ROI) or equivalent database and reporting systems
1-3 years professional experience, in a fundraising environment a plus
