As an Event Associate, you will report to the Associate Director, Guest Experience & Event Reporting

What You'll Do

  • Provide customer service to our event guests throughout planning and onsite at events

  • Recommend invitation list criteria to achieve attendance goals of events

  • Manage guest lists for development, ceremonial and presidential events

  • Manage event databases for tracking guest attendance, including daily input of guest information, management of multiple guest lists, team planning calendar maintenance, and production and distribution of detailed reports

  • Prepare printed items for events, including: name tags, place cards, diagrams, chair cards, and registration materials

  • Manage guest arrival experiences onsite at events

  • Suggest potential improvements that improve the work we do and the events we produce

  • Participate in special department projects, such as new technology, educational opportunities, project management, and diversity, equity, and inclusion

  • Maintain storage and supply areas including ordering of necessary event and office supplies

  • Have a important role in the success of our events

Skills You Have

  • A bachelor’s degree or an equivalent combination of education and experience is necessary

  • 1+ years demonstrated office experience

  • The ability to switch between projects with little effort or stress

  • The ability to prioritize tasks

  • Meeting (or beating) deadlines is second nature to you

  • Experience working in a collaborative/team setting

  • Proofreading ability and strong written and oral communications skills

  • Experience in a customer service role

  • Extensive knowledge and experience using Microsoft Office software, especially, MS Publisher, MS excel (can perform complex functions), MS Word and G Suite

Additional Information

  • Overtime is required for this position and may include early mornings, evenings, and weekends. Overtime is paid at time and a half. Overtime in the office is higher during September-April. Generally, less overtime is required during May-August. In addition to overtime in the office, additional overtime may be required for onsite event staffing. Overtime hours are not guaranteed and the total amount of overtime required from candidate will vary from week to week based on the schedule of events. 

  • Travel to staff events will be required and may include weekends and holidays.
